What will you be doing
As a Junior Administrative Officer at DAG, you will be at the heart of our project management and grant compliance, ensuring our initiatives run smoothly and align with donor and organisational standards. Your role is multifaceted, providing vital support across project administration, human resources, and financial tasks. Here’s a snapshot of your key responsibilities:
Project Administration
Grant Compliance & Reporting: Monitor and ensure adherence to grant requirements and national laws, handle financial and progress reports, and support effective communication with donors. Your prior experience with European Grants and Dutch Ministry of Foreign Affairs funding frameworks will be instrumental;
Database Management: Keep the grant database up-to-date and easily accessible;
Budget Monitoring: Help oversee project budgets to ensure spending aligns with approved budgets and grant conditions;
Financial Planning: Assist in the financial design, planning, and implementation of projects, ensuring they meet the organisation’s goals and donor requirements;
Logistics Coordination: Organise logistics for project activities, including conferences, meetings, and field visits;
Documentation Management: Help prepare and monitor project documentation such as work plans, budgets, and financial reports;
Stakeholder Liaison: Facilitate smooth project execution by liaising with project teams, partners, and stakeholders;
Financial Transactions: Support the processing of financial transactions related to grants and projects, including invoices and reimbursements, and assist in financial reporting;
Human Resources
Employee Onboarding/Off-boarding: Contribute to the onboarding and off-boarding processes in coordination with program managers;
HR Communication Point: Serve as the primary contact for communications with our HR consultancy;
Payroll Management: Handle payroll changes with our Payroll administrator;
HR Research & Advice: Research and advise on HR matters, ensuring compliance with European and Dutch laws.
Financial Administrative Support
Ad-hoc financial tasks: Provide support to the finance team by handling various routine administrative tasks and assisting with ad-hoc financial duties as needed to ensure smooth departmental operations
Cash Reports Management: Manage cash reports, collect and file receipts and invoices, and submit reconciled reports to the Finance & Admin Officer for streamlined cash flow management.

Qualifications:
Bachelor’s degree in a business related field;
At least 2 years of professional experience in NGO grant management and/or project administration. Preferably demonstrated experience in administering EU and/or Dutch MFA grants;
Solid understanding of the grant application process and donor requirements;
Excellent organisational skills and ability to manage and oversee multiple projects simultaneously;
Strong communication and interpersonal skills with fluency in English both speaking and writing;
Proficiency in additional languages such as Dutch, French, Spanish, or Arabic is an advantage;
Demonstrated commitment to conflict resolution and peace-building.

The Dialogue Advisory Group (DAG) is an independent non-governmental organisation (NGO) that facilitates political dialogue to reduce violence. We create or advance political dialogues between armed groups, governments, and international organisations in conflict situations. We have a small and dedicated team based in Amsterdam that frequently travels across the globe to our project locations. This includes 13 permanent staff and a variable number of consultants, as well as a flexible working model.
You’ll be part of a young, dynamic and multicultural team with an office in the heart of Amsterdam;

Remuneration between 2659,00 - 3014,00 EUR based on a 40h/week gross per month, depending on professional and academic experience;
1 year contract with the possibility of extension;
20 flexible vacation days plus two weeks office closure over Christmas holidays and New Years;
Commuting reimbursement according to Dutch standards, holiday allowance and a collective pension plan;
